How We Work
What is the first step when working with RegiCare?
You usually begin by booking a discovery call to discuss your service type, regulator, and project requirements.
What happens after the discovery call?
After your discovery call, you receive a written quote outlining the proposed services, costs, and delivery timescales.
How do I accept a quote and start my project?
Once you accept the quote, RegiCare issues a digital agreement for signature. Work begins after the agreement is signed and your initial payment is received.
What happens during onboarding?
After signing, you complete a short onboarding form confirming your key details such as service name, client groups, and location information.
How do you share project updates?
You receive regular updates by email as each stage of your project is completed, along with a summary of next steps.
What information do you need to start?
You provide service details, business name, contact information, and any regulator-specific references required for your documentation.
How long will my project take?
Most standard document projects take one to three weeks once all required information has been received.
Can I request changes after my documents are delivered?

You receive a regulator-aligned business plan and financial forecast tailored to your service model and registration type, including editable financial tables.
How is the financial forecast prepared?
Your forecast is built from your service type, staffing structure, and capacity information that you confirm before figures are finalised.
What format will I receive my business plan in?
You receive the business plan in Word and the financial forecast in Excel so you can update or reuse them in the future.
What does the Statement of Purpose service include?
You receive a regulator-aligned Statement of Purpose designed to match your registration type and formatted to meet official expectations.
Can I request a revision after receiving my Statement of Purpose?
Yes. One revision is included to ensure the Statement accurately reflects your service.
What is included in the Policies and Document Creation service?
You receive a full regulator-aligned policy library personalised with your service details and branding.
Are the policies editable?
Yes. All policies are supplied in editable Word format so you can make future updates.
How are the policies tailored to my service?
You provide key details about your organisation, client groups, and staffing model so each document is customised accurately.
What does the Policy and Document Update Service include?
You receive ongoing updates to your policy documents for twelve months to keep them current with any regulation changes.
How often are updates provided?
Updates are released whenever guidance or standards change, and you are notified when new versions are available.
What does the Registration Application Support service involve?
You receive complete guidance in preparing your regulator application, including help with completing the form and supplying the correct documents.
Which regulators are covered?
The service supports applications to CQC, Ofsted, CIW, the Care Inspectorate Scotland, and RQIA.
Will you complete my regulator application for me?
You receive detailed guidance and pre-filled templates, but you must submit the final form directly to your regulator.
What does the Branding and Visual Identity service include?
You receive three initial branding concepts, a final approved design, and all brand files and colour references for print and digital use.
Will I receive editable branding files?
Yes. Editable source files are included alongside ready-to-use versions.
What is included in the Logo Design service?
You receive multiple logo concepts and one final approved design in both colour and black-and-white formats.
Can I request changes to my logo designs?
Yes. You can request adjustments before the design is finalised.
What is included in the Naming and Domain Search service?
You receive a shortlist of suitable business names plus domain availability information for each.
Can you help register my chosen domain?
Yes. You can request assistance to secure your domain once you select a preferred name.
What is included in the Website Design and Setup service?

What platform do you use for website builds?
Websites are built on WIX for straightforward future editing and management by you or your team.
Can you maintain the website after delivery?
Ongoing maintenance can be provided through Care Co-Pilot or as a separate support service.
What does the Interview Preparation service include?
You receive tailored preparation materials and guidance focused on regulator interview expectations for your service type.
Can I book a mock interview?
Yes. You can book a virtual mock interview with feedback and a readiness summary.
Payments & Contracts
How will I receive my invoice?
You receive your invoice by email after your agreement has been issued and signed.
When is payment due?
You make payment within seven days of the invoice date unless another written arrangement has been agreed.
What payment methods can I use?
You can make payment by bank transfer or through the online payment link included with your invoice.
When will work start?
Work begins once your signed agreement has been received and your initial payment has cleared.
Can I cancel after signing my agreement?
You can cancel your agreement within 14 days of signing. If any work has already been completed, the cost of that work will be deducted from your refund.
What is your refund policy?
You may be entitled to a partial refund if you cancel within the 14-day cooling-off period and no work has yet begun. After this period, refunds are not normally available.
What happens if payment is late?
If payment is not received by the due date, your project may be paused until payment has been made.
Who owns the documents after delivery?
You are licensed to use the documents for your own business. RegiCare retains ownership of the underlying templates and intellectual property.
How is my personal information used?
Your information is used only for delivering contracted services and managing your account, in line with data-protection law.
Can I request changes to my agreement?
Yes. You can request additional services or amendments at any time. Any changes will be confirmed in writing and may include an updated quotation.

What format will I receive my documents in?
You receive your final documents in editable Word and PDF formats, ready for submission or internal use.
How are final documents delivered?
Your completed files are sent electronically by email or through a secure project folder link.
Will my documents include my business details?
Yes. All documents are personalised with your confirmed service name, location, and other relevant details from your onboarding form.
How long will it take to receive my documents?
Delivery times depend on your selected service. Most document projects are completed within one to three weeks once all information is confirmed.
Can I make changes after delivery?
Yes. Each service includes one revision round to make any required adjustments or corrections.
What if I need extra changes beyond the included revision?
Additional changes can be requested for an agreed fee once the included revision round is complete.
Do you keep a copy of my documents?
Yes. RegiCare securely retains a copy of your completed work for future updates or replacement requests.
Can I share my RegiCare documents with others?
You can use your documents for your own business operations, but they must not be resold or distributed externally without permission.
What happens if I lose my files?
You can request replacement copies. RegiCare keeps secure backups of all delivered materials.
Will I receive updates if guidance changes?
If you have an active Care Co-Pilot subscription, you receive updated versions whenever relevant regulations or guidance change.

What is Care Co-Pilot?
Care Co-Pilot is an ongoing subscription service that provides you with regulatory updates, document revisions, and direct access to specialist support for your care business.
How does Care Co-Pilot work?
You submit questions or requests through your Care Co-Pilot dashboard or email and receive tailored responses and document updates from the team.
What does my Care Co-Pilot subscription include?
Your subscription includes policy and document updates, priority email support, and access to expert guidance on regulatory requirements and inspection readiness.
How quickly will I receive a response?
You usually receive a response within two to three working hours depending on the complexity of your query.
Can I request new policies through Care Co-Pilot?
Yes. You can request additional or specialist policies which will be quoted and added to your library as required.
Can I cancel my Care Co-Pilot subscription at any time?
Yes. You can cancel at any time with 30 days’ notice before your next renewal date.
Will I lose access to documents if I cancel?
No. You keep all documents that were delivered while your subscription was active. However, you will no longer receive updates or revisions.
How will I know when updates are released?
You receive email notifications whenever new policy versions or guidance updates are added to the Care Co-Pilot portal.
Can I upgrade my Care Co-Pilot plan?
Yes. You can upgrade to include additional support hours or enhanced services such as branding or website maintenance.
